Claiming Maintenance Tasks

How do I find available maintenance tasks?

To find available maintenance tasks:

  1. Open the Collab App
  2. Go to the Tasks section
  3. Look for tasks marked as available maintenance tasks

You will only see tasks that:

  • You are eligible to complete
  • Match your location
  • Are currently open

If you don’t see any tasks, there may not be any available at that time.

How do I claim a task?

To claim a maintenance task:

  1. Tap on the task
  2. Review the description and instructions carefully
  3. Confirm you are able to complete it
  4. Tap Claim Task

Once claimed:

  • The task is assigned to you
  • Other CPs cannot claim it
  • You are responsible for completing it properly

Only claim tasks you are confident you can complete.

Can tasks be unclaimed?

In most cases, tasks should not be unclaimed once you’ve claimed them.

But we understand, things can happen. If you are unable to complete a claimed task:

  • Contact Collab support immediately using the in-app chat
  • Do not ignore the task
  • Do not leave it incomplete without communication

Staff will advise whether the task can be reassigned.

What happens after I claim a task?

After claiming:

  • The task appears in My Tasks
  • You are responsible for completing it within the expected timeframe
  • You must follow all instructions and submit required proof
  • The task will be reviewed after submission

Incomplete or incorrect submissions may be rejected.

Completing Maintenance Tasks in the App

Step-by-step: completing a maintenance task
  1. Open the task in the Collab app
  2. Review the task description and instructions
  3. Go to the unit or location
  4. Check in, if the tenant is home, validate your identity with your secure access code when requested
  5. Complete the required work
  6. Take required photos (before/after if requested)
  7. Add any required notes
  8. Submit the task in the app

Do not mark a task complete until all required steps are finished.

  • Clear photos of the issue
  • Photos showing the work completed
  • Notes explaining what was done

Photos must:

  • Be clear and well-lit
  • Clearly show the issue or completed work
  • Match the task description

If the issue is different from what was described:

  1. Do not guess or improvise major changes
  2. Take photos of the actual issue
  3. Note the difference clearly in the app
  4. Contact support if needed

Collab staff will advise on next steps.

What if I can’t complete the task?

If you cannot complete the task:

  • Do not mark it as completed
  • Document the reason in the app
  • Contact support immediately

Common reasons might include:

  • Missing tools
  • Access problems
  • The issue requires a licensed professional

Communicating early prevents negative impact on your rating.

CollabSHAKE

What is CollabSHAKE?

CollabSHAKE is a verification feature used to confirm:

  • You are physically present at the correct location
  • The task is being completed in the right unit
  • The correct CP is performing the task

It helps maintain security and accuracy within the community.

When is CollabSHAKE required?

CollabSHAKE may be required:

  • For certain maintenance tasks
  • For tasks where the tenant is home
  • When identity or location validation is necessary

CollabSHAKE will generate a unique code in the app on the task.

How do I use CollabSHAKE

When arriving at the property to complete the task and CollabSHAKE is required: 

  • Check in to the task
  • The tenant will ask for your unique code provided by your Collab App
  • If the codes match, the tenant will allow you access to the property
What happens if validation fails?

If CollabSHAKE validation fails:

  • The task may not be allowed to proceed
  • The tenant may not allow you to access the property
  • You may be asked to retry verification
  • Staff may need to intervene

If you experience issues, contact support immediately through the in-app chat.

What are task ratings?

Task ratings help ensure high standards across the Collab community. Our rating system is designed to support quality and fairness. This helps recognize reliable Community Pros and create better experiences for everyone.

After certain tasks, your performance may be rated by:

  • Collab staff
  • Tenants (for tasks that directly involve them)

Ratings are based on clear criteria and help recognize reliability, professionalism, and quality wor

Who rates tasks?

Tasks may be rated by:

  • Collab staff – based on submission quality, proof, and following instructions
  • Tenants – based on their experience during the task

Not every task will include a tenant rating.

What are the rating criteria?

Ratings are based on the following areas:

  • Task Completion & Accuracy
    Did you complete the task correctly and as instructed?
  • Responsiveness to Staff Direction
    Did you follow guidance and communicate when needed?
  • Punctuality & Dependability
    Did you arrive on time and follow through as expected?
  • Reporting & Documentation
    Were your photos, recordings, and notes clear and accurate?
  • Timeliness
    Was the task completed within the expected timeframe?
  • Communication
    Were you professional, clear, and responsive?
  • Quality of Work
    Was the work done carefully and to a good standard?
  • Professionalism & Reliability
    Did you represent the community well?
How do ratings affect future work and my CP profile?

Your ratings may impact:

  • Access to future tasks
  • Priority for higher-value assignments
  • Overall standing as a Community Pro

Consistently strong ratings help unlock more opportunities.

Occasional low ratings will not automatically remove you, but repeated issues may lead to review of your CP status.

How can I maintain strong ratings?

The simplest way to maintain strong ratings is to:

  • Arrive on time
  • Follow instructions carefully
  • Communicate clearly
  • Submit complete and accurate proof
  • Stay professional, even in difficult situations

If something goes wrong, communicate early using in-app chat. Transparency often matters more than perfection.
